How to buy Microsoft 365 for a Kenyan business

To buy Microsoft 365 for a business in Kenya, choose a business or enterprise plan for each group of staff, then buy the licences either online from Microsoft or through a Microsoft partner (a CSP reseller) who invoices you locally. Have your domain, a list of users and an admin contact ready, and expect an annual commitment with prices quoted per user per month, plus VAT at 16%.

Buying Microsoft 365 is simple once you know the options. The hard part is usually everything around it: picking the right plan for each person, getting an invoice your finance team accepts, and moving years of email without losing any. This guide covers the whole process for a Kenyan SME, school, NGO or professional firm, from the first decision to the first morning on the new system.

The ways to buy Microsoft 365 for business

There are two proper ways for a business to buy Microsoft 365, online from Microsoft or through a partner, and one route, retail boxes, that is meant for home use only.

Buying online from Microsoft

Microsoft sells its business plans online to Kenyan organisations through its global website, where you choose Kenya as your billing country. Prices there are shown and charged in US dollars. You create the tenant yourself, pay online and manage everything in the Microsoft 365 admin center, with phone and web support from Microsoft.

This suits a confident IT person setting up a small team who is happy to handle the setup, DNS changes and any migration alone. Some products, such as certain Copilot licences, may not be offered online in every market, so check availability before you plan around them.

Microsoft also offers a one-month free trial of Business Basic, Business Standard, Business Premium and Apps for business when you sign up online. Read the terms before you start: storage is limited during the trial, and at the end the trial renews into a paid annual subscription by default unless you turn off recurring billing in the admin center (Try or buy a Microsoft 365 for business subscription, Microsoft Learn, checked 4 October 2026). Put a reminder in your finance calendar so a test tenant doesn’t turn into an unplanned bill.

Buying through a reseller or CSP partner

A Microsoft partner in the Cloud Solution Provider (CSP) programme sells the same Microsoft 365 plans, puts the licences into your own tenant and bills you directly. Microsoft still runs the service; the partner handles the purchase, the invoice and, usually, the setup and support.

For a Kenyan business, the practical differences are a local invoice (in KES or USD, with VAT), one contact for licences and help, and someone to do the migration and security setup. Our guide on how to choose a Microsoft partner in Kenya explains what to look for, and our Buy Microsoft 365 in Kenya page explains how buying from Priori works.

Retail boxes and cards: for home only

The Microsoft 365 boxes and cards sold in shops and online marketplaces are mostly home plans, such as Microsoft 365 Personal and Family. They are designed for households and tied to personal Microsoft accounts. They don’t give you email on your company domain, central control of users, or the business security features, so they are not a substitute for a business plan.

Choosing the right plans

Choose plans per person, not per company, because Microsoft 365 licences are assigned to individual users and you can mix plans freely. Most organisations of up to 300 users choose from four business plans:

  • Business Basic for staff who need email, Teams and web apps: drivers, field officers, reception. KES 865 per user per month.
  • Business Standard for staff who live in desktop Word, Excel and Outlook. KES 1,729 per user per month.
  • Business Premium for anyone handling client, patient, payroll or financial data, because it adds device management and advanced security. KES 2,717 per user per month.
  • Apps for business if you only need the desktop apps and keep email elsewhere. KES 1,235 per user per month.

Prices exclude VAT and are on an annual commitment. If you are between two plans, our comparisons help: Business Basic vs Business Standard and Business Standard vs Business Premium. Above 300 users, or if you need more advanced security, compare Business Premium vs E3. Every plan and price is in our Microsoft 365 pricing guide, which also has a calculator for your monthly bill and explains the cheapest way to buy. For what a business licence costs plan by plan, see Microsoft 365 for small and medium businesses.

One limit to plan around: the 300-user cap counts across all Business plans together, not per plan, so 250 Business Premium users leave room for only 50 more Business licences of any kind (Microsoft Learn, checked 4 October 2026). Larger organisations can combine Business and Enterprise plans in one account; see Microsoft 365 Business vs Enterprise.

Schools and registered non-profits should check their own options first: Microsoft 365 for education and Microsoft 365 for non-profits are priced differently, and Business Basic is free for eligible non-profits up to 300 users.

What you need before you buy

You need three things ready before you buy: your domain, a list of users and a named admin contact.

  • Your domain. The address your email uses, such as yourfirm.co.ke, and the login for wherever it is registered. In Kenya this is often held by a former web developer or a local registrar, so track it down early. You will need it to verify the domain and, later, to switch email over.
  • A list of users. Everyone who needs an account, with their job and what they use day to day. Mark which addresses are really shared, such as info@ or accounts@, because these can often be shared mailboxes rather than paid users.
  • An admin contact. One or two named people in your organisation who will hold the Global Administrator role. The tenant should belong to your organisation, not to a supplier.
  • Invoice details. The legal name, address and tax details your finance team wants on the invoice, and whether you prefer KES or USD.

Next step: send us your staff numbers on WhatsApp and we’ll suggest a plan mix and a quote in KES or USD.

How to buy Microsoft 365 for your business

  1. Group your staff. Sort everyone into groups by need: email and Teams only, desktop apps, or advanced security. Count the people in each group.
  2. Choose a plan per group. Match each group to a plan, using the comparisons above. Add Copilot or Teams Phone only for the people who need them; we confirm availability for your tenant and plan before you commit.
  3. Choose how to buy. Decide whether you will buy online and set up yourself, or buy through a partner who invoices you and helps with setup.
  4. Get a written quote. Ask for the plan, number of licences, commitment term, currency and VAT on one document, so your finance team can approve it.
  5. Create or confirm your tenant. A new tenant is created in your organisation’s name; if you already have one, the licences are added to it. Make sure your own admin holds a Global Administrator account.
  6. Verify your domain. Add the record Microsoft provides to your DNS to prove you own the domain. Don’t change the MX record yet.
  7. Assign licences. Create users and give each one the right licence in the admin center, then switch on multifactor sign-in.
  8. Plan the switch. Agree a migration date, move email and files, then point your MX record to Microsoft 365.

Invoices, VAT and annual terms

When you buy through Priori, you get an invoice in KES or USD, prices exclude VAT, and VAT at 16% is added because we are registered for VAT in Kenya.

  • Per user, per month. Prices are quoted per user per month. To get a yearly figure, multiply by the number of users and by twelve, then add VAT.
  • Annual commitment. Our prices are for a one-year commitment. Microsoft charges more for month-to-month subscriptions on its business plans, and enterprise, frontline and non-profit plans are sold on annual commitment only.
  • Adding staff. You can add licences for new staff at any point during the year, on whichever plan suits each person.
  • Upgrading. You can move people to a higher plan during the term, for example from Business Standard to Business Premium. Microsoft keeps mailboxes and files during the change, and users keep working while it happens.
  • Reducing licences. On an annual commitment, reductions are normally made at renewal. Microsoft sets the rules on cancellation windows and changes them from time to time, so check the current terms with us before you buy.
  • Below the standard price. Every plan we sell is 5% below the standard price.

After you buy: setup, migration and training

Buying the licences is the start, not the finish: the value comes from setting them up properly and helping people use them. Many organisations pay for security they never switch on, or keep emailing attachments while a terabyte of OneDrive sits unused.

  • Setup. Users, domain, multifactor sign-in, devices and, on Business Premium, Conditional Access and device policies. Our Microsoft 365 deployment checklist sets out the order.
  • Migration. Moving email, calendars and files from cPanel, Zimbra, Google Workspace or another tenant while staff keep working. See Microsoft 365 migration.
  • Security and backup. Switching on the protection in your plan, and adding independent backup, because Microsoft doesn’t back up your data for you. See Microsoft 365 security.
  • Training. Short, role-based sessions on Outlook, Teams, OneDrive and SharePoint, so staff actually use what you bought. See training and advisory.

We work as your partner through all of this, from the licence review to the first renewal, when we look at usage with you and adjust the plan mix.
