Microsoft decides eligibility and your own staff must register, so we walk you through it, then license, set up and secure your tenant.
Kenyan NGOs and community organisations run on tight budgets and answer to donors for every shilling. Some still share passwords, use personal Gmail accounts for programme work and keep beneficiary data on laptops with no backup. That is a risk to the people you serve and to your funding.
Microsoft offers eligible non-profits a free grant of Microsoft 365 Business Basic and discounted prices on its other plans. Priori guides your organisation through Microsoft’s registration, then licenses, sets up and secures Microsoft 365 so your team can focus on programmes.
- Business Basic grant. Free for up to 300 users: email on your own domain, Teams, web and mobile Office apps and 1 TB of cloud storage per user.

- Discounted E3 and E5 for larger organisations, with a volunteer use benefit of up to five Microsoft 365 F3 seats for volunteers per licensed E3 or E5 seat.
- Discounted Microsoft 365 Copilot for eligible non-profits.
Who is eligible
Microsoft decides eligibility, not Priori. Based on Microsoft’s current rules:
- Organisations. Your organisation must hold recognised legal non-profit or NGO status, or be a public library or museum.
- Grants are for staff. Granted licences such as Business Basic are for paid employees and unpaid executive staff.
- Discounts are for everyone on your team. Discounted licences can be used by all staff, including volunteers.
- Not for beneficiaries, donors or members. These groups cannot be licensed under the non-profit offers.
- You register yourselves. The person registering must be an employee or strategic volunteer of the non-profit. A third party, including an IT partner such as Priori, may not register on your behalf.
That last rule matters. We cannot submit your registration, but we sit with your team, explain each step and check your documents before you submit, so you get it right the first time.
Microsoft 365 nonprofit plans and prices in Kenya
Business Basic is a grant at no cost. The other plans are discounted non-profit staff prices on an annual commitment, shown here with Priori’s prices, excluding VAT. We invoice in Kenya shillings or US dollars and add VAT at 16%, so your finance team gets a local tax invoice for donor reporting. A common approach is to combine the free Business Basic grant for most staff with Business Premium for finance and programme leads who handle sensitive data.

How it works
- Check. We review your registration documents and staffing against Microsoft’s rules, and tell you honestly if you are unlikely to qualify.
- Register. A member of your staff or a strategic volunteer completes Microsoft’s non-profit registration, with our guidance at each step.
- Plan the licences. We work out who gets the grant, who needs a discounted paid plan and how to cover volunteers, priced in KES.
- Set up and migrate. We configure your tenant and move email and files from Gmail, Google Workspace, Zimbra or cPanel. How migration works.
- Secure and train. We switch on multifactor sign-in and, on Business Premium, device and data protection, then train staff. Microsoft 365 security and training. To keep staff and volunteers engaged across field offices, we can add Employee Engagement 360 for feedback and recognition in Teams.

How can a nonprofit get 50% off Microsoft 365?
Microsoft’s published offers include no general 50% discount on Microsoft 365; the real savings are its non-profit programme, where eligible organisations get Business Basic free and other plans at non-profit prices.
