Microsoft 365 Copilot Chat is Microsoft’s secure AI chat for work, and it comes at no extra cost with eligible Microsoft 365 business and enterprise plans. Staff sign in with their work account to draft, summarise and analyse files they upload, under your organisation’s controls. It answers from the web and the content you give it; Copilot that works across your own email and files needs a paid licence.
Your staff are probably already using AI to write emails and summarise documents. The question is whether they are doing it in a tool your organisation controls. Microsoft 365 Copilot Chat is available at no additional cost to users signed in with a work account on an eligible Microsoft 365 subscription, including Business Basic, Standard and Premium, E3 and E5.

Staff reach Copilot Chat at copilot.cloud.microsoft, in the Microsoft Copilot app on the web, desktop and mobile, through the Copilot icon in the Edge browser, and inside Outlook and Teams, where it can work with the email or chat they have open. Secure AI chat for work, not a personal app
When a staff member pastes a client contract or a payroll extract into a personal AI app, your organisation has no say over what happens to it. Copilot Chat is different because staff use it with their Microsoft 365 work account, under your tenant’s settings.
- Work account sign-in. Copilot Chat is for Microsoft Entra ID users in your organisation, so access follows your existing accounts.
- IT controls. Your administrators manage how Copilot Chat is used, rather than leaving it to each staff member.
- Enterprise-grade privacy and security. Microsoft states that Copilot Chat comes with enterprise-grade privacy and security for work accounts.
For Kenyan organisations handling personal data under the Data Protection Act 2019, steering staff to a work-account tool is a practical step. It is one control, though, and compliance also needs clear policies on acceptable AI use and staff training.
Agents in Copilot Chat are billed by usage
Copilot Chat itself costs nothing extra, but agents are different. To use agents in Copilot Chat you need an Azure subscription, and agents are priced on a metered basis, so you pay for what is used. Copilot Chat works with the web and the files staff upload. Paid Copilot works with your organisation’s own data. Adding a Microsoft 365 Copilot licence grounds Copilot Chat in your work data through Microsoft Graph, and puts Copilot inside Word, Excel, PowerPoint, Outlook and Teams.
