Microsoft Copilot in Kenya: the short answer
Microsoft Copilot is Microsoft’s AI assistant for work, and Kenyan organisations on Microsoft 365 already have Copilot Chat at no extra cost. Copilot inside Word, Excel, Outlook and Teams, working with your own files and email, needs a paid licence per user. Priori helps you choose the right Copilot, prepare your data and train your staff, with prices in KES.
Copilot helps your people draft documents and email, summarise Teams meetings and make sense of spreadsheets. The hard part is not switching it on. It is choosing the right licence for each group of staff, making sure files are shared only with the people who should see them, and showing staff how to use it well on their real work. That is where we walk with you, from the first conversation to everyday use.
Paid Copilot licences are new in many markets, so we confirm availability for your tenant and plan before you commit. Microsoft itself notes that Copilot is available in many regions but might not be accessible in certain markets (Microsoft Learn: What is Microsoft Copilot?, checked 4 October 2026).
Priori is an independent Microsoft partner, not Microsoft. Microsoft has its own presence in Nairobi through the Microsoft Africa Development Center, which it describes as its engineering hub on the continent (checked 4 October 2026); licences for Kenyan organisations are bought online from Microsoft or through a partner like us.
What Microsoft Copilot is
Microsoft Copilot is not one product but a family: a free AI chat for every eligible work account, paid Copilot inside the Office apps, and tools for building your own agents. Here is each member in plain terms.
- Microsoft 365 Copilot Chat. Secure AI chat with web grounding, writing help, file uploads and Copilot Pages. It comes at no extra cost with eligible Microsoft 365 work accounts, with IT controls and enterprise-grade privacy. Agents used in Copilot Chat are billed by usage through an Azure subscription.
- Microsoft 365 Copilot Business. A paid add-on for organisations of up to 300 users on an eligible Microsoft 365 Business plan. It puts Copilot inside Word, Excel, PowerPoint, Outlook and Teams, grounded in your work data, with pre-built agents such as Researcher, Analyst and Facilitator, and analytics to measure adoption.
- Business Standard with Copilot and Business Premium with Copilot. Microsoft 365 Business plans sold with Copilot already built in, so each user needs one licence instead of two.
- Microsoft 365 Copilot. The paid add-on for enterprise plans such as Microsoft 365 E3 and E5. It adds AI search across your work data with more than 100 connectors, Copilot Notebooks, custom agents grounded in your data, SharePoint Advanced Management and Copilot Analytics. It is included in Microsoft 365 E7.
- Microsoft Copilot Studio. A tool for building your own agents, such as an HR policy assistant or an IT helpdesk, paid for with Copilot Credits by the pack or by usage.
- Agent 365. A control plane for observing, governing and securing AI agents across Microsoft 365. It is included in Microsoft 365 E7 and available as an add-on for E5.
A note on names: Microsoft’s documentation now calls Microsoft 365 Copilot simply “Microsoft Copilot”, and Microsoft 365 Copilot Chat “Microsoft Copilot Chat”. Microsoft says some licences and features may keep the older names during the change, and that security, privacy and compliance are unaffected (Microsoft Learn: Microsoft Copilot requirements, checked 4 October 2026). On this site we use the licence names Microsoft’s price lists still show, so you can match them to a quote.
Which Copilot fits?
The right Copilot depends on the size of your organisation, the Microsoft 365 plan you are on and what your staff need to do. Most organisations start with one of these four situations.
Trying AI safely
You want staff to stop pasting work into personal AI tools. Start with Copilot Chat, which you already have with Microsoft 365.
A business of up to 300 users
Some staff need Copilot in Word, Excel and Outlook. Add Copilot Business to those users, or move everyone to a “with Copilot” bundle.
An enterprise on E3 or E5
You run Microsoft 365 E3 or E5 and want Copilot with search across all your work data. Microsoft 365 Copilot is the add-on for you.
A process to automate
You answer the same questions every day, from staff, members or customers. Build an agent with Copilot Studio.
Copilot pricing in Kenya
Paid Copilot is priced per user per month, and every Priori price is 5% below the standard price, shown in Kenya shillings and US dollars and excluding VAT. We invoice in KES or USD.

Copilot Chat is already included. Every staff member with an eligible Microsoft 365 work account can use Microsoft 365 Copilot Chat at no extra cost, so you only pay for Copilot inside the Office apps for the people who will use it. Paid Copilot is licensed per user, which means you can start with a small group and add licences as teams see the benefit. Our article Is Microsoft Copilot free? sets out exactly what is included and what is paid.
If most of your staff need Copilot, a bundle such as Business Premium with Copilot keeps it to one licence per user. If only some do, the Copilot Business add-on on those users is usually the cheaper route. We work out the mix with you. See every Microsoft 365 and Copilot price in KES.
Get your Microsoft 365 ready before Copilot
Get your permissions right before you buy paid Copilot, because Copilot works with whatever each user can already open. Microsoft states that Copilot only surfaces organisational data to which the individual user has at least view permission, and asks organisations to use Microsoft 365’s permission models to keep access right (Microsoft Learn: Data, privacy and security for Microsoft Copilot, checked 4 October 2026).
That is what makes Copilot useful, and it is also why preparation matters. A payroll spreadsheet saved to a SharePoint site that “everyone” can open was hard to stumble on before. Once staff can ask questions in plain language, it is much easier to find. In brief, a readiness review covers:
- Licences and set-up. An eligible Microsoft 365 plan for each user, work accounts in Microsoft Entra ID, Exchange Online mailboxes and up-to-date Office apps.
- Identity. Multifactor sign-in for everyone, so a stolen password cannot open a Copilot session full of company data.
- Permissions and oversharing. Old project sites, “anyone with the link” shares and departed staff’s files are the usual problems. We find and tidy them.
- Sensitivity labels and retention. Label board papers, HR records and client files as confidential, and clear out files you no longer need to keep.
- A pilot and training plan. Who goes first, what they will try, and how you will judge whether it helps.
Business Premium matters here. It includes Microsoft Purview Information Protection and data loss prevention for labelling and protecting sensitive data, plus Intune and conditional access to control which devices can reach it. Business Standard does not. If you plan to roll out Copilot widely, Business Premium or Business Premium with Copilot gives you the controls to do it safely, and our Microsoft 365 security team sets them up. The full checklist is on our Copilot readiness assessment page.
Adoption: how to get staff using Copilot
Staff adopt Copilot when they are shown how it helps with their own tasks, not when a licence simply appears in their apps. A licence nobody uses is money spent for nothing, so we plan adoption as carefully as the technical set-up.
Microsoft’s own onboarding guide for IT admins follows a similar order: get the organisation and its data ready, choose the licence, make sure apps and network meet the requirements, assign licences, then welcome users and collect their feedback. Microsoft also publishes adoption material such as a success kit, a scenario library by role and industry, and introductory training (Microsoft Learn: Copilot adoption and onboarding guide for IT admins, checked 4 October 2026). We turn that into a plan that fits a Kenyan organisation’s size, budget and way of working.
- Choose. We map which staff need Copilot Chat, Copilot Business or Microsoft 365 Copilot, priced in KES, and confirm availability for your tenant and plan.
- Prepare. We review permissions, tidy SharePoint and set up sensitivity labels, so Copilot only works with what each person should see.
- Pilot. A small group from different teams uses Copilot on real work. We agree with you in advance which tasks they will try and how you will judge the results.
- Train. Practical sessions built around your own documents, meetings and spreadsheets, not generic demos. Staff learn to write clear prompts and to check Copilot’s output before they send it.
- Support champions. A few confident users in each department share tips and prompts with colleagues, so learning continues after the training day.
- Expand. We add licences for the teams that benefit, and use Copilot’s adoption analytics to see where it is used and where people need more help.
Our training and advisory service runs these sessions for your teams, alongside training on Teams, SharePoint and OneDrive.
Copilot use cases by role
Every team can find everyday tasks where Copilot gives a useful first draft or summary. The examples below show the kind of work it can help with in Word, Excel, Outlook and Teams. They are examples, not promised results: what you get depends on your data, your permissions and how well staff are trained, and a person should always review Copilot’s output before it is used.
Finance
- Excel. Ask Copilot to explain the main movements in the monthly management accounts, or to summarise debtors by age from an export of your ledger.
- Word. Turn the month-end numbers and your notes into a first draft of the commentary for the board or the finance committee.
- Outlook. Summarise a long thread with your auditors and draft a reply that lists the documents still outstanding.
HR
- Word. Draft a job advert, an offer letter or an onboarding pack from your existing templates and the role description.
- Word. Produce a plain-language summary of a long leave or disciplinary policy for staff to read.
- Teams. After a recorded or transcribed interview panel, ask Copilot for a summary of each panellist’s points to support the shortlist write-up.
Sales
- Outlook. Catch up on a long email thread with a client before a call, then draft a follow-up that confirms what was agreed.
- Teams. Get a recap of a client meeting with the action items and owners, ready to share with the account team.
- Word. Draft a proposal from a previous one and the notes from the discovery meeting, then edit it for the new client.
Operations
- Excel. Ask which routes, branches or suppliers show the most delays in a logistics or stock report, and build a chart of the trend.
- Word. Turn a rough set of steps into a clear standard operating procedure for a new process.
- Teams. Summarise the weekly operations meeting and list the open issues, so people who missed it can catch up.
Leadership
- Outlook. Get a summary of what needs your attention in a busy inbox after a few days away.
- Word. Summarise a long board pack or donor report into the key decisions and risks before the meeting.
- Teams. Ask what was decided in a management meeting you could not attend, and who owns each follow-up.
IT
- Word. Draft a plain-language staff notice explaining a change such as switching on multifactor sign-in.
- Excel. Analyse a licence or device export to spot unused accounts and devices that have not checked in.
- Teams. Summarise an incident review call into a timeline and a list of follow-up actions.
Meeting recaps in Teams depend on transcription or recording being switched on for that meeting, and Copilot only uses content the person asking is already allowed to see. We set both up with you during the readiness review.
