Microsoft 365 backup in Kenya means keeping an independent copy of your Exchange email, OneDrive, SharePoint and Teams data, so you can restore it after a deletion, a departing employee or a ransomware attack. Many Kenyan organisations assume Microsoft backs up their email and files. Microsoft keeps the service running and protects its datacentres, but under its shared responsibility model, the data inside your tenant is yours to protect. If a user deletes a folder, a departing employee wipes their OneDrive, or ransomware encrypts a SharePoint library, getting it back is your problem.
Microsoft 365 does keep deleted items for a limited time, and you can set retention policies. Neither is a backup. Deleted-item retention runs out, retention policies are hard to restore from in bulk, and both live inside the same tenant you are trying to protect. An independent Microsoft 365 backup keeps a separate copy you can restore from on your terms.

When you will be glad you had a backup
- Accidental deletion. An accountant clears out an old folder that held last year’s audit files. We restore the folder to where it was, or to a new location.
- Departed staff. A manager leaves and their mailbox and OneDrive are removed. Months later a client dispute needs their email. The backup still has it.
- Ransomware. Files synced from an infected laptop overwrite good copies in SharePoint. We restore the library to a point before the attack.
- Legal hold and investigations. A law firm, SACCO or NGO needs to produce historical email for an audit, a regulator or a court. We find and export it.

We use Veeam Backup for Microsoft 365, delivered as a managed service. Veeam is purpose-built for Exchange Online, OneDrive, SharePoint and Teams, and lets us restore anything from a single email to a whole site. You do not need to run servers or learn new software: we operate the backup and handle restores for you.
Where your backup is stored matters under the Kenya Data Protection Act 2019, which sets rules for transferring personal data outside Kenya. We tell you exactly where your backup copies live, so you can record it in your data protection documentation. Six questions to ask of any Microsoft 365 backup

- What does it cover? Check it includes every place your staff work. Microsoft’s overview of Microsoft 365 Backup lists OneDrive, SharePoint and Exchange Online (Microsoft Learn, checked 4 October 2026); Veeam also protects Teams channels, chats and files.
- How far back can you go? Microsoft 365 Backup lets you set a recovery window of 3 months, 6 months, 1 year or 2 years. Match the window to your records schedule.
- Where are the copies kept? Microsoft says its backups stay inside the Microsoft 365 boundary and honour your tenant’s data residency. For any backup, record the location for your Data Protection Act documentation.
- Who can delete backups? A backup should survive a compromised admin account, so limit and monitor who can change or remove it.
- How is it billed? Microsoft 365 Backup is pay-as-you-go by the amount of data protected; managed services are usually quoted per organisation. Ask what a restore costs as well.
- Has a restore been tested? A backup nobody has restored from is untested. We run test restores with you.

Isn’t the recycle bin or deleted items folder enough?
No, because deleted items are only kept for a limited time, can be purged by a user or an attacker, and sit in the same tenant as the original.
Can you recover SharePoint files after a ransomware attack?
Yes, we can restore a SharePoint library or OneDrive to a point before the attack, as long as it was in the backup.
