Buying Microsoft 365 for your business
To buy Microsoft 365 for business in Kenya, go through a Microsoft partner that resells Microsoft licences, such as Priori. You tell us how many people need which plan, approve a quote, pay an invoice in KES or USD, and we assign the licences on your organisation’s own Microsoft 365 tenant. Business plans run on an annual commitment, and prices exclude 16% VAT.
That is the short version. This guide covers what buying through a Microsoft reseller in Kenya actually means, each step from first message to trained staff, what to have ready, and why a home licence from a shop is not the same thing as a business plan. If you only want numbers for now, see our Microsoft 365 prices in Kenya, where every plan is priced 5% below the standard price.
Priori Technologies is a Microsoft partner based in Karen, Nairobi. We supply Microsoft 365 licences through Microsoft’s distributors in the region, Redington, Westcon and Red Dot Distribution, and we stay with you after the sale to make sure the licences you pay for are set up and used well.
What buying through a Microsoft partner means
Buying through a Microsoft partner means you get genuine Microsoft licences on your own account, with a local company that quotes, invoices and supports you in Kenya. Microsoft lets partners sell its business licences through its Cloud Solution Provider (CSP) programme, so a local Microsoft licensing provider in Kenya can quote in shillings, invoice with Kenyan VAT and help you set things up.
- Licences on your own tenant. Your organisation has its own Microsoft 365 tenant: the account that holds your users, mailboxes, files and settings. The licences we supply are assigned there, in your organisation’s name, and your administrators keep control of it.
- Annual commitment. Our prices are per user per month on a one-year commitment. You can add licences for new staff during the year.
- A KES or USD invoice. We invoice in Kenya shillings or US dollars, whichever suits your finance team. The KES prices on our site are converted at 130.00 shillings to the US dollar.
- VAT at 16%. Priori is registered in Kenya for VAT. Our prices exclude VAT, which is added to the invoice.
- One partner for licences and setup. The same Nairobi team that supplies your licences can set up security, move your email and train your staff, so nothing falls between two suppliers.
Licences are assigned per user, so you don’t need one plan for the whole organisation. A SACCO might put its loans officers on Business Premium because they handle member data, and its field staff on Business Basic because they only need email and Teams.
How to buy Microsoft 365 for business, step by step
Buying Microsoft 365 through Priori takes seven steps, and we walk through each one with you.
- Tell us your users and needs. Send us how many people need Microsoft 365, what they do, and what you use today for email and files. A WhatsApp message or a short call is enough to start.
- Get a recommendation. We suggest the right plan for each group of staff, for example desktop apps for the finance team and web apps for drivers, and explain what the more expensive plans would add. Where a cheaper plan is enough, we say so.
- Receive a quote. We send a written quote showing each plan, the number of users, the price per user per month, the annual total and VAT, in KES or USD.
- Invoice and payment. When you approve the quote, we issue a VAT invoice in your chosen currency for the annual commitment.
- Licences assigned. We add the licences to your organisation’s Microsoft 365 tenant, or create the tenant with you if you don’t have one yet, and assign each licence to the right person.
- Setup and migration. We connect your domain, switch on the security settings your plan includes, and move your email and files from your current system. How migration works.
- Training. We show your staff how to use Outlook, Teams, OneDrive and SharePoint well, and how to spot unsafe email. Training and advisory.
What to have ready
Three things make buying and setting up Microsoft 365 quicker: access to your domain, a list of your users and details of your current email system.
Domain access
Business email runs on your own domain, such as yourcompany.co.ke. We need someone who can log in to wherever its DNS is managed, usually your domain registrar or web host, to add the records Microsoft 365 needs. If nobody knows the login, start looking now; it is the most common hold-up.
Your user list
A simple spreadsheet of names, job roles and the email address each person should have. Mark who needs desktop Office apps, who only needs email and Teams, and who handles sensitive data such as payroll, patient or client records. That tells us which plan each person needs.
Your current email system
Tell us what you use today: Google Workspace, Zimbra, cPanel mail from your web host, or another Microsoft 365 tenant. Also tell us roughly how much email and how many shared files you want to bring across, so we can plan the move.
It also helps to know who in your organisation will approve the quote and who will be your Microsoft 365 administrator day to day. They are often different people, and both should be in the conversation early.
Home licences vs business licences
Microsoft 365 Personal and Family are for home use, so a business should buy a Microsoft 365 business or enterprise plan instead. The home plans you find in shops and online are licensed to individuals and households, not to organisations.
Business plans give you things a home licence does not:
- Business email on your own domain, such as you@yourcompany.co.ke, with a 100 GB mailbox per user on Business Basic, Standard and Premium.
- Central administration. One admin centre to add and remove staff, reset passwords and reassign a licence when someone leaves, so company email and files stay with the company.
- Identity and access management. Every business plan includes Microsoft Entra ID for staff sign-in; Business Premium adds conditional access and device management with Intune.
- Microsoft Teams and shared storage for chat, meetings and team files in SharePoint, plus 1 TB of OneDrive storage per user.
- Copilot Chat with your work account, included at no extra cost.
Be wary of cheap “licence keys” for Office sold online or over WhatsApp. A Microsoft 365 business subscription bought through a partner is not a key you type in: it is a licence assigned to a named user on your organisation’s tenant, and it should come with an invoice in your organisation’s name showing VAT. If a seller can’t tell you which tenant the licences will sit in, keep looking. Our guide to choosing a Microsoft partner in Kenya lists the questions to ask any reseller.
If your team only needs Word, Excel and PowerPoint on their computers, without business email, Microsoft 365 Apps for business is the business licence for that. For most organisations, though, email and Teams are the reason to buy. Our guide to Microsoft 365 business plans helps you choose.

Email signatures
Consistent, branded signatures for every member of staff with Exclaimer or Rocketseed, managed centrally.
Licence reviews
As your team changes, we help you add licences for new staff, move people between plans and check before renewal that each person is on the plan they actually need.
Not sure which plan to buy?
Most Kenyan organisations choose between a handful of plans, and a side-by-side comparison usually settles it. Up to 300 users, start with Business Basic vs Business Standard or Business Standard vs Business Premium. Larger organisations, or those with stricter compliance needs, should read Microsoft 365 Business vs Enterprise and our enterprise plans. If you are weighing up a different suite altogether, see Microsoft 365 vs Google Workspace.
Or skip the reading: send us your staff numbers and what they do, and we will recommend a mix of plans and quote it in KES.
