What Microsoft 365 costs in Kenya

The Microsoft 365 price in Kenya runs from KES 865 (USD 6.65) per user per month for Business Basic to KES 7,410 (USD 57.00) per user per month for Microsoft 365 E5, on an annual commitment and excluding 16% VAT. Through Priori, every plan is priced 5% below the standard price, shown in Kenya shillings and US dollars, and invoiced in whichever currency suits you.

Your bill depends on two things: how many people you license, and which plan each person needs. Because licences are assigned per user, most organisations mix plans, so a field officer on Business Basic sits alongside an accountant on Business Premium. How Priori pricing works

Our prices follow one rule, so you can check any number on this page yourself. Every plan is sold by Priori Technologies, a Microsoft partner based in Nairobi, at 5% below the standard price.

• Below the standard price. Every plan is 5% below the standard price. For example, our Business Premium price is USD 20.90 per user per month.
• Shown in Kenya shillings. KES prices are converted at 130.00 shillings to the US dollar.
• Annual commitment. Prices are per user per month on a one-year commitment, unless a plan says otherwise.
• VAT excluded. Add VAT at 16%. Priori is registered in Kenya for VAT.
• Invoiced in KES or USD, whichever suits your finance team.
• Checked regularly. We last checked these prices on 3 October 2026.

Microsoft 365 with Copilot prices

You can buy Copilot as part of a business plan, as the Copilot Business add-on for organisations of up to 300 users, or as Microsoft 365 Copilot for enterprise plans. Enterprise plans without Teams

Microsoft sells its enterprise suites both with and without Microsoft Teams, so organisations that already use another meeting tool, or that license Teams separately, don’t pay for it twice.

Education and non-profit prices

Microsoft donates Office 365 A1 to eligible schools, colleges and universities, and does not publish a price for A3, so we quote it on request. Home plans or business plans?

Microsoft sells two kinds of Microsoft 365. Home plans, such as Microsoft 365 Personal, Family and Premium, are for individuals and households. Business plans, such as Business Basic, Business Standard and Business Premium, are licensed per user to an organisation and managed by it. Priori is a Microsoft partner that sells business licences: plans for companies, schools, NGOs and other organisations. Every price on this page is for an organisation, and we don’t sell or price home plans.

If you are buying for a company, SACCO, school or NGO, a business plan gives you things a team needs:

• Email on your own domain for every member of staff, with Exchange (all business plans except Apps for business).
• Microsoft Teams and 1 TB of storage per user, shared across your organisation.
• Central control of accounts through Microsoft Entra ID, for up to 300 users, with device management and data protection on Business Premium.
• A Kenyan tax invoice from Priori in KES or USD, with VAT at 16% shown.

What is a Microsoft 365 Personal subscription?

Microsoft 365 Personal is one of Microsoft’s home plans, a subscription for an individual rather than for an organisation. It is not a business licence, so we don’t sell it and don’t publish its price. If you need Microsoft 365 for work, Business Basic or Business Standard is the usual starting point.

Do employers need a Microsoft 365 subscription?

If your staff use Microsoft 365 for work, yes: each person needs their own licence, because Microsoft 365 business plans are licensed per user. Your organisation buys the licences and assigns one to each employee, so their email, files and Teams sit under accounts the organisation controls. You can give different staff different plans to keep the cost down.

Work out your monthly bill

Doing the sums yourself

How much you should pay for Microsoft 365 depends on how many people need each plan, not on a single company-wide price. Four steps get you a reliable estimate.

1. Group your staff. List who needs desktop apps, who only needs email and Teams, and who handles sensitive data.
2. Multiply. For each group, multiply the number of users by that plan’s per-user monthly price.
3. Add the groups together, plus any add-ons such as Copilot or Teams Phone for the people who need them.
4. Add VAT at 16%. Multiply the monthly figure by twelve for your annual commitment.

A worked example

Take a Nairobi law firm with 20 staff who handle client files. Business Premium suits them, so their monthly cost before VAT is 20 users × KES 2,717. In words: twenty times the per-user Business Premium price shown in the business table above.

Now say five partners also want Copilot. The firm adds 5 users × KES 2,223 for the Copilot Business add-on. Add the two figures, add VAT, and you have the monthly bill. If the firm later hires a receptionist and two drivers who only need email and Teams, it can put those three on Business Basic at KES 865 each rather than Business Premium.
